What Are Resourcing Requests?
A Resourcing Request is a structured way to communicate and manage your resource needs. It allows project managers and team leads to collaborate with resource owners, ensuring the right person is allocated to the right role.
What's new?
Resourcing Requests now carry more context and appear directly in the resource planner, making it easier to evaluate demand, compare it against availability, and move from request to allocation without switching views.
Two Ways to Create a Request
1. From Scratch (Manual Form)
Use this when you know the role or person you need, even if no placeholder exists yet.
Navigate to the Requests tab and click "Add a request" in the top right corner.

2. From Unassigned Project Memberships
Use this when you’ve already defined placeholder roles in your project plan.
In the project resourcing view, locate the placeholder and open the action menu.Select "Create a resourcing request" from the list.

This will copy over the role data into a new request.
The role is automatically selected based on the placeholder in your project plan. This ensures consistency between your project structure and the resourcing request.

Editing the Request
Once the request is created, you can:
Adjust the allocation (start and end dates, workload).
Add description or comments.
Suggest a specific assignee.
Assign the request to a task for clearer delivery context.
Associate the request with an organization for better reporting and filtering.
All changes are saved within the request for easy collaboration and tracking.
Viewing Requests in the Planner
Resourcing Requests appear directly in the resource planner, allowing you to see open demand alongside current and future allocations, identify capacity gaps earlier, and prioritise requests based on timing and workload impact.
Availability in Resourcing Requests
When a request is ready to be reviewed, approvers can see availability information directly within the request — without needing to switch views.
If the request is for a role (unassigned), the best-fit candidate is automatically recommended based on availability. The approver can see the recommended person's availability at a glance, or open the Assign Dialog to explore other candidates and select the strongest match. See Assigning resources to projects for more detail on how the Assign Dialog works.
If the request is for a specific person, that person's availability is shown immediately within the Resourcing Request. If their availability makes them a poor fit for the required period, the approver can switch to alternative matches and choose a better option before confirming
Accepting & Allocating
Once the request is finalized, update the status to Accepted.
Click "Allocate" to create the actual project assignment.
The assignee will now appear in your project as a named resource, replacing the placeholder.
Track & Manage Requests
All requests can be viewed and managed under the Requests tab, where you can filter and sort requests by:
Status
Project
Requestor
Acceptor
Organization
Task
Request ID
Note: Requests without full metadata will appear under a “No group” category, ensuring nothing is hidden or lost in grouped views.

Collaboration Made Easy
Use comments inside the request to ask questions or clarify needs.
Requests are versioned and time-stamped to track decision history.
Once allocated, the request is marked complete and traceable in reporting.
